AI assistants for business: assistant, agent or chatbot?

AI assistant, AI agent and chatbot get used interchangeably, and they do not mean the same thing. It sounds like splitting hairs, but the choice decides what the solution costs, how long it takes to set up, and how much control you keep. This guide is short on purpose: find your type, and the other posts take the details.

The three types, briefly

TypeWhat it doesWho is in control
AI assistantHelps one employee with drafts, replies and summaries. The human, at every single step.
AI agentUses tools and moves a process forward on its own.The human approves along the way.
ChatbotAnswers customers directly on the website, around the clock. The rules and sources you set up.
The difference is less about technology than about who presses send.

Note that the order in the table is also the order most businesses should take them in. The assistant is the one that demands the least trust up front, because nothing leaves the building without a human having read it.

Which one does your business need?

Start with an AI assistant if one specific person spends a lot of time writing the same things over again: customer replies, quotes, summaries. The tasks vary too much to fully automate, but they take too long to start from a blank page. See which tasks suit it in AI for businesses, and how to set the ground rules for staff in ChatGPT for business.

Choose an AI agent when the task is already well described, repeats the same way every time and crosses several systems: email in, data out, CRM updated, task to the right person. Then it is the workflow, not the writing, that steals the time. AI agent for business goes through what an agent can safely be allowed to do.

Choose a chatbot when it is the customers, not the staff, waiting for answers, and the questions are mostly the same. That is a different job from the two above: it speaks outward. When does an AI chatbot pay off? does the maths, and AI customer service covers what it should and should not answer.

The most common wrong turns

  • Buying a chatbot because it is the most visible, when it is really the staff drowning in email.
  • Building an agent on a process nobody internally agrees on how to run.
  • Starting with everything at once instead of one area that can be measured.
  • Choosing by technology and vendor rather than by who should keep control.

If you are unsure which category your situation falls into, it is often quicker to talk it through than to read your way there. I am happy to do that with no obligation through AI and automation. If you are still weighing off-the-shelf against custom, AI tools for small businesses takes that trade-off.

What is the difference between an AI assistant and an AI agent?

An assistant helps a human do the job faster, and the human sends it themselves. An agent can use tools and move a process forward on its own, with approval on the important steps.

Is an AI assistant the same as ChatGPT?

ChatGPT is a general tool that does not know your business. An AI assistant for business is set up with your own knowledge, tone and examples, so the answers can be used without much rewriting.

Can we have several of them at once?

Yes, and most end up there. A common path is an assistant internally first, a chatbot outward once the questions are mapped, and an agent on whichever process turns out to be the same every time.

Which is cheapest to get started with?

The assistant, because it needs the least integration with other systems. An agent costs more to set up because it has to be connected safely to the tools it will use.
